All client groups involved in the preparation and delivery of the Special Olympics Russia Winter Invitational Games 2021 must undergo the registration procedure.
Upon successful registration in the system, each participant gets a personalized badge that provides access to venues and services of the Invitational Games in accordance with performed functions. A badge is the only official identification document for the period of the Invitational Games.

REGISTRATION

DELEGATIONS (ATHLETES AND OFFICIALS)

Registration is handled by responsible person nominated by each delegation (Registration Contact).
Registration is carried online through the SO Connect system, applied by Special Olympics Inc. Please note that no other methods of registration will be accepted.
REGISTRATION DEADLINE
20 October 2020 – 15 December 2020
Login, password and the Registration Manual are sent to the email of the Registration Contact.
If you are a Registration Contact, but has not been provided the access to the SO Connect, please send your request to the email Delegation.Services@dspkazan.com
BADGES ISSUANCE
Badges are provided to the participants that have duly and successfully undergone the registration.

MEDIA

Please be kindly informed that registration in the Accreditation System is mandatory for all media representatives planning to take part in the Special Olympics Russia Winter Invitational Games.

If you have completed the online preliminary form, but have not been given an access to the Accreditation System, please contact Media_Operations@dspkazan.com.
In order to get the access to the Accreditation System, each Individual Media Representative or Registration Contact responsible for the registration of a group of media representatives should complete an online preliminary form.
Registration is carried out through the Republican Agency for Press and Mass Communications Tatmedia. In order to get the access to the Accreditation System please send a request to the email address of Tatmedia – a.smetanina@tatar.ru.
An Individual Media Representatives or Registration Contacts are asked to complete the personal information, upload photographs in accordance with the requirements and submit the Individual Entry Forms for the consideration of the LOC.
After considering the request, the Local Organizing Committee will send out a notification with login details and the Registration Manual to the indicated email.
After the consideration of the request, the Organizing Committee will send out the login and password, and the link to access the system.

BADGES ISSUANCE
Badges are provided to the participants that have duly and successfully undergone the registration procedure in the system (Individual Entry Form status will change for the status "Active"). Badges are to be issued upon presenting the original valid passports used during the registration process.

The registration procedure is handled online in the personal account of the Accreditation System. Registration is carried out by one responsible person (Registration Contact) nominated by each organization.
REGISTRATION DEADLINE
20 October 2020 – 10 December 2020
Login, password and instructions are forwarded to the email address of the Registration Contact.
If you are a Registration Contact nominated by your organization, but have not been provided with access to the Accreditation System, please send your request to the representative of the Games Organizer, with whom communication is carried out regarding the implementation of the functionality within the framework of the Games.
Registration Contact should fill out Individual Forms for each involved employee, indicating personal data and personal photographs.
PLEASE PAY ATTENTION
Incomplete or incorrectly completed Individual Forms will not be considered by the Organising Committee. Please change the status of the Individual Entry Forms from "Draft" to "Submitted." You can monitor the status of profiles in the account.

MEDIA INFORMATION

This section contains information for media representatives planning to work at the Special Olympics Russia Winter Invitational Games 2021. The information will be updated with the event approaching, therefore it is recommended to check the section for updates.

VISA SUPPORT FOR FOREIGN MEDIA REPRESENTATIVES

All international media representatives are advised to contact the Local Organizing Committee at Media_Operations@dspkazan.com.
ARRIVAL AND DEPARTURE
+
On arrival and departure days, media representatives staying at the official media hotel will be offered free shuttle service from the official arrival point to the official media hotel and back.
To use this service, media representatives should indicate their place of living — an official media hotel, and date and time of their arrival and departure in the Accreditation System. Data can be entered no later than three days before the date of arrival/departure.
ACCOMMODATION

Media representatives are offered to stay at the official media hotel – Ibis Hotel (43/1 Pravo-Bulachnaya St., Kazan).
The advantages of staying at the official media hotel are its location in the city centre and organised transfer from the hotel to the competition and ceremony venues during the Invitational Games.
The media hotel is available for booking till 20 December 2020. Booking requests should be submitted to H6278-SL1@accor.com with a copy to Media_Operations@dspkazan.com.
The number of rooms in the media hotel is limited. Booking requests sent later than the specified deadline are accepted only if there are vacant rooms. For guaranteed room reservations, payment must be made according to the terms specified below:
• 30% payment before 25.12.2020

• 50% payment before 15.01.2021

• 20% payment before 25.01.2021
Media representatives may choose any other locations to stay at in Kazan. However, it should be taken into account that in this case organisers do not provide assistance in booking, consultations, and transportation services.
TRANSPORTATION
+
On the days of the competition, shuttles will be provided for the registered media to get from the official media hotel (Ibis) to the venues hosting the Invitational Games. Access to shuttles for official media representatives will be carried out based on a badge.
The traffic schedule of the media shuttle, as well as the routes, will be published on the website not later than 10 days before the start of the Invitational Games.
CATERING

During the day, in the media centres at the venues of the Invitational Games, there will be coffee breaks, including hot and cold drinks and light snacks.
MEDIA ZONES
+
The following media zones will be arranged at the venues of the Invitational Games.
MEDIA CENTRE
The main area for media representatives at each competitive venue and the ceremony facilities of the Invitational Games will be equipped with workstations, providing media representatives with the opportunity to connect their own equipment to the power supply and the Internet (SCS port and Wi-Fi) and having an Info Desk, an area for recreation and coffee breaks.
PHOTO AND VIDEO POSITIONS
Media centres will be open on the days of the competition at a specific venue. Working hours of media centres: two hours before the start of competitions; two hours after the end of competitions.
Photo and video positions will be accessed provided that there is a badge and a special vest, which can be obtained from media centre at the Info Desk.
MIXED ZONE
This area is for media representatives to communicate with athletes. The work schedule of mixed zones should be checked in the competition media centre.
MEDIA STANDS
Seats on the stands intended for journalists will be marked accordingly.
